Your Privacy at StoryTools

Effective October 7, 2026

StoryTools is a software platform and related service operated by Codicio LLC, a Montana limited liability company, doing business as StoryTools ("StoryTools," "we," "us," or "our"). This Privacy Policy covers story-tools.com and any other StoryTools site or app that points here.

This Privacy Policy explains how we collect, use, disclose, and protect information in connection with StoryTools.

Two words we use a lot:

  • An organization is a customer of ours: a group that uses StoryTools to gather videos, photos, or other submissions.
  • A contributor is a person who records or uploads a submission for one of those organizations.

The short version

  • We collect information you give us, such as your name and email address. If you're an organization, we also hold information associated with your account.
  • Our site also logs technical details about your visit, as most websites do.
  • If you're a contributor, the organization you submitted to receives your information along with your submission. Other organizations using StoryTools don't receive it from us unless you clearly authorize that sharing.
  • StoryTools does not use contributor information for its own advertising, marketing, solicitation, or sales purposes. We do not market to or solicit contributors or other end users of an Organization's StoryTools campaign. We use that information to provide StoryTools to the Organization, as described in this policy and our agreement with the Organization.
  • The Organization determines how it uses contributor information and is responsible for its own notices, consents, and other obligations relating to that use.
  • We use only necessary cookies. We do not use Google Analytics, advertising cookies, or other analytics cookies.
  • Marketing email and texts can be turned off at any time. Those communications are directed to Organization customers and prospective customers, not to contributors or other end users of an Organization's StoryTools campaign.
  • Depending on where you live, you may have rights to see, correct, delete, or limit certain uses of your information. Write to [email protected].

Who else sees my information?

This is usually the first thing people want to know, so it goes first.

  • The organization you recorded for. If you're a contributor, the organization that asked for your submission receives your information along with it. That's the point of the service. Other organizations on StoryTools don't receive your contributor information from us unless you explicitly authorize that sharing.
  • Service providers and contractors. We use outside companies that help us operate StoryTools and our business, such as hosting and storage, customer support, email delivery, security, analytics, research, and professional services. They may access information as reasonably necessary to provide those services.
  • Partners we collaborate with. We may share information with other entities when reasonably necessary to provide or support StoryTools, operate our business, protect our users, or as otherwise described in this policy. We do not share mobile phone numbers or text-message opt-in data and consent records with any third party or affiliate for marketing purposes.
  • Authorities and the courts. If the law requires us to hand something over, we will. We may also disclose information when we honestly believe it's needed to respond to a legal demand, investigate or enforce this policy or our agreements, respond to a support request, or protect StoryTools, our people, our users, or the public. That may include sharing information with other companies to help fight fraud, spam, or malware.
  • A future owner. See "What if StoryTools gets bought?" below.
  • Anyone you tell us to share with. If you give us permission to share information with someone, we can do so as you direct.

Information that has been aggregated or de-identified so that it is not reasonably associated with an identifiable individual may be used and shared for lawful purposes, subject to applicable law.

What do you know about me?

Things you tell us

Your first and last name and your email address. Organizations also create a username and password. You might give us a phone number, your social media handles, or whatever else you type into a form or message.

We receive this when you:

  • ask for a demo or get in touch;
  • sign up for the newsletter;
  • open an organization account; or
  • send in a video, photo, or other submission as a contributor.

Sometimes you provide information to a company we trust that collects it for us rather than directly to us. When that happens, that company's own privacy terms may also apply to its collection and use of your information.

Things our systems notice

When you use StoryTools, your browser or phone tells us about itself and about your visit:

  • Your setup: device identifiers, hardware and software details, operating system, platform, browser, and its language setting.
  • Your connection: IP address. From it we can estimate roughly where you are, such as a city, state, or postal code, along with the state or country you connected from.
  • Your visit: when you came, the page that sent you and where you went next, which pages you opened and how long you stayed, what you clicked, what you downloaded, and any errors that occurred.

This isn't a complete list, but it gives you the idea. We use this information to operate, secure, understand, and improve StoryTools.

What do you do with all this?

We do what you asked us to do with it:

  • send you the newsletter you subscribed to;
  • book your demo;
  • let your organization into its dashboard; or
  • handle the submission you provided.

We also use information to:

  • run StoryTools, fix it when it breaks, improve it, and build new things;
  • communicate with Organization customers and prospective customers about their relationship with us, answer questions, provide support, ask for feedback, and provide information about StoryTools;
  • do our own research and reporting;
  • keep the business safe and lawful, including security work, stopping fraud, and meeting legal obligations; and
  • do anything else you've separately agreed to, where the law calls for your agreement.

For contributor submissions and other information collected through an Organization's StoryTools campaign, StoryTools processes the information solely to provide, maintain, secure, and support StoryTools for that Organization and as otherwise directed or authorized by the Organization. StoryTools does not use that information for its own advertising, marketing, solicitation, or sales purposes.

For Organization customers and prospective customers, we may use information as necessary to operate its own business relationship with them, including providing support, communicating about StoryTools, and marketing StoryTools to those organizations.

The Organization is generally responsible for determining the purposes for which contributor information is collected and used.

Some places require us to name it. Where those laws reach us, we rely on one or more of these:

  • We need the information to do what we promised you.
  • We, or someone else, have a legitimate interest. Examples are securing StoryTools, delivering the service, understanding how it's used, improving it, and defending our legal rights.
  • The law gives us a reason to process it.
  • You consented.

Where StoryTools processes contributor information on behalf of an Organization, the Organization may be responsible for identifying the applicable legal basis for its collection and use of that information.

What about cookies?

We use only the cookies that are necessary to run StoryTools. A cookie is a small text file saved on your device that remembers things about how you used a site. Ours are used to keep you signed in, remember your settings and preferences, protect against fraud and abuse, and help the site work properly.

We do not use cookies for analytics, advertising, or tracking you across other websites. We do not use Google Analytics.

Your browser can warn you whenever a cookie is set or changed, or block them entirely. If you block them, parts of StoryTools, such as signing in, may not work properly.

Will you email me?

If you're an organization and you give us your email address, you may be put on our mailing list.

To get off it, click "unsubscribe" at the bottom of any of our emails, or write to [email protected].

Unsubscribing stops marketing email. It doesn't stop messages we have to send, such as notices that our terms or policies changed.

We do not use contributor information obtained through an Organization's StoryTools campaign to send our own marketing emails or other promotional communications.

Will you text or call me?

Only organizations, and only if you opt in. We send marketing calls or texts to a mobile number only after you give us your express written consent where you enter the number, such as by checking a box on our form. Those messages may be sent using automated technology. Consent is not a condition of purchasing anything or using StoryTools.

We may also send non-marketing texts you ask for or that are needed for your account, such as demo reminders or login codes.

Message frequency varies. Message and data rates may apply. Reply STOP at any time to opt out, or HELP for help. You can also opt out by emailing [email protected].

We do not share mobile phone numbers or text-message opt-in data and consent records with any third party or affiliate for marketing purposes.

We do not use contributor information obtained through an Organization's StoryTools campaign to make our own marketing or sales calls or texts.

Can I see, fix, or delete what you have?

If you live in certain U.S. states, Canada, the European Economic Area, or another place with similar laws, you may be able to ask us to:

  • show you, or send you a copy of, certain information we hold about you;
  • correct anything that's wrong;
  • delete certain information;
  • limit how we process and disclose certain information; or
  • stop relying on a consent you gave earlier.

Email [email protected] and tell us what you're asking for. We look at every request and reply within the time the law allows. We might first ask for enough information to confirm you are who you say you are. Some information is legally exempt from these requests, so there are times when we won't be able to do everything you ask.

If your information was submitted to StoryTools on behalf of an Organization, the Organization may be responsible for responding to certain privacy requests concerning that information. In those cases, we may direct your request to the Organization or assist the Organization in responding.

What happens to aggregated and de-identified data?

Sometimes we strip identifying details out of information, or aggregate it into totals, so it is no longer reasonably associated with an identifiable individual or device.

We may use and share information that has been aggregated or de-identified for lawful purposes, subject to applicable law.

How safe is it?

We protect your information with organizational, technical, and physical safeguards, with stronger protections around more sensitive data where appropriate.

The aim is to keep information from being lost, misused, or altered. But nothing sent over the internet is ever completely secure, and we can't promise that every attempt at unauthorized access, use, or disclosure will fail.

What if StoryTools gets bought?

If we are involved in a merger, acquisition, financing, reorganization, bankruptcy, sale of assets, or similar transaction, information may be transferred as part of that transaction, subject to applicable law.

That can include a potential buyer reviewing information beforehand as part of due diligence.

Is StoryTools meant for kids?

No. It's built for a general audience and isn't aimed at children.

If we learn we've collected information from a child who is below the age at which the law requires a parent's consent, and we don't have valid consent, we'll take reasonable steps to delete it as quickly as we can.

What about links to other sites?

StoryTools sometimes links to sites we don't run. Once you're on one of those, its privacy policy applies, not this one, and we aren't responsible for its content or what it does with your data.

We suggest reading the privacy policy of any site that asks for your information.

Will this page change?

Probably, since we revisit it regularly. The date at the top shows the latest revision, so look back occasionally.

When a change is significant, we'll notify you in whatever way the law requires. Changes become effective on the date stated at the top of the updated policy.
