StoryTools Submission Terms
Effective October 5, 2026
These terms apply when you record, upload, or otherwise submit a video, photo, or other material (a "Submission") through a StoryTools-powered widget, page, or link provided by an organization (the "Organization"). The "Organization" means the organization whose widget, page, or link you used, together with its affiliated entities. "StoryTools" means the software platform and related services provided by Codicio LLC ("Codicio," "we," "us," or "our"). "You" means the person making the Submission.
By checking the agreement box or submitting, you agree to these terms. If you do not agree, please do not submit.
Summary
This summary is for convenience only. If it conflicts with the detailed terms below, the detailed terms control.
- You keep ownership of your Submission.
- You give the Organization a permanent, worldwide, royalty-free license to use it, including for advocacy, fundraising, communications, and promotion.
- You give Codicio a narrow license to host and process your Submission on the Organization's behalf. Codicio does not use your Submission in its own advertising and does not market to you.
- You can ask for your Submission to be removed going forward, but copies already shared or published may not be retrievable.
- Submit only what you created or have permission to share, and only what you are comfortable making public.
- The Organization is responsible for determining how it uses Submissions and for providing any additional notices, consents, permissions, or other terms that may apply to a particular campaign, program, or use of a Submission.
1. Who can submit
You must be at least 18 years old (or the age of majority where you live) to make a Submission. Do not submit if you are under that age. If your Submission shows anyone else, including any minor, you must have their consent (and the consent of a parent or legal guardian for any minor) as described in Section 4.
The Organization may impose additional age, consent, or eligibility requirements for particular Submission opportunities.
2. License to the Organization
You keep all ownership rights in your Submission. By submitting, you automatically grant the Organization a royalty-free, fully paid-up, worldwide, perpetual, irrevocable except as expressly provided in these terms or required by applicable law, non-exclusive license, with the right to sublicense through multiple tiers, to use, reproduce, distribute, modify, edit, adapt, translate, caption, excerpt, combine with other material, publicly perform, and publicly display your Submission, in any and all media now known or later developed, and to authorize others ("Licensees") to do the same.
The Organization may use your Submission for any purpose connected with its mission and operations, including education, advocacy, fundraising, communications, outreach, and promotion, and including commercial and advertising uses by or for the Organization. This includes use on websites, applications, social media, email, text messaging, advertising, and press, in each case without further notice or compensation to you.
You also grant the Organization the right to use your name (as you provided it, which may be your first name only), voice, image, likeness, and any biographical information you include in your Submission, in connection with the uses above. Your Submission may be edited for clarity or length. The Organization is not required to use, publish, or credit your Submission.
This license is non-exclusive. You may continue to use your own Submission however you like, including posting it elsewhere.
The Organization is responsible for determining whether and how a particular Submission may be used in connection with its activities and for obtaining any additional permissions or consents it determines are appropriate or required for that use.
3. License to Codicio
You grant Codicio a limited, non-exclusive, worldwide, royalty-free license to host, store, copy, transcode, process, display, deliver, back up, and secure your Submission, in each case solely to provide and support the StoryTools Platform to the Organization, including as reasonably necessary to maintain, secure, troubleshoot, and operate the Platform and as otherwise instructed by the Organization.
This license does not permit Codicio to use your Submission in Codicio's own advertising or marketing, or to sell or license it to others for their own purposes.
Codicio markets its services only to organizations. Codicio does not market to Submission contributors and does not use your contact information for its own marketing.
Your relationship as a supporter is with the Organization, not Codicio.
Codicio does not determine the purposes for which the Organization uses a Submission and is not responsible for the Organization's particular campaign, program, or use of a Submission.
4. What you confirm when you submit
By submitting, you confirm that:
- you are at least 18 years old;
- you created the Submission, or you own or have obtained all rights needed to grant the licenses in these terms;
- everyone who is identifiable in the Submission (by image, voice, or otherwise) has consented to being included and to the licenses in these terms, and for any minor, a parent or legal guardian has consented;
- the Submission does not include music, footage, artwork, logos, or other material owned by someone else unless you have permission to use it in this way;
- the Submission does not violate anyone's rights or any law;
- the information you provide is accurate and not misleading; and
- you have obtained any releases, permissions, or consents that are reasonably necessary for the Organization to exercise the rights granted under these terms.
You are not paid for your Submission, now or later. To the extent permitted by law, you waive any moral rights, and any right to inspect or approve how your Submission is used.
5. Removal requests
If you want your Submission removed, contact the Organization using the contact details shown on the page where you submitted. The Organization will make reasonable efforts to remove your Submission from the websites, applications, and channels it controls within a reasonable time, and as required by applicable privacy law.
Removal applies going forward only. The Organization and Codicio cannot recall or delete copies that have already been shared, embedded, downloaded, published, or distributed by others, or materials already printed or in distribution, and the license in Section 2 continues for those copies. Codicio may retain routine backups for a limited period after removal.
Nothing in this Section limits any rights you may have under applicable law.
6. Where your Submission may appear
Depending on how the Organization uses the Platform, your Submission may appear on the Organization's public pages, which other people may view and share, as well as in the Organization's social media, email, text messaging, advertising, and other communications. If your name or social media handle is displayed, it will be displayed only as the Organization has chosen and disclosed at the time of submission. Please include only information you are comfortable having public.
7. What you may not submit
This list is illustrative, not exhaustive. Your Submission must not:
- infringe or violate anyone's intellectual property, privacy, publicity, or other rights, including by posting or linking to unauthorized copies of copyrighted work;
- promote or encourage unlawful activity;
- be defamatory;
- advocate hate, violence, abuse, threats, or harm against any person or group, or harass anyone or encourage harassment;
- be obscene, pornographic, sexually explicit, gratuitously violent, or otherwise unsuitable for a general audience;
- disclose another person's confidential, private, or trade secret information, or violate a duty you owe under law, contract, or a relationship of trust (including inside information and information covered by a non-disclosure agreement);
- be primarily commercial in nature, such as advertising, spam, chain letters, pyramid schemes, or other solicitation; or
- contain viruses, malware, or any code intended to damage, interfere with, or secretly access any system or data.
You also agree not to impersonate any person or entity or misstate your affiliation, not to use the trademarks of StoryTools or the Organization without permission, and to comply with all laws that apply to you.
8. Rejection and removal
The Organization and Codicio may decline, remove, restrict access to, or stop using any Submission that they consider inappropriate or inconsistent with these terms or that may violate applicable law or the rights of another person, and are not required to notify you. Questionable Submissions may be investigated, and violations may result in actions including legal action, civil, criminal, or injunctive (a court order requiring something to stop).
9. Copyright complaints
If you believe a Submission infringes your copyright, send a notice to Codicio's designated agent: [email protected]. Your notice should include:
- your contact details;
- a description of the copyrighted work;
- the location of the allegedly infringing material;
- a statement that you have a good-faith belief the use is unauthorized;
- a statement, under penalty of perjury, that your notice is accurate and that you are the owner or authorized to act for the owner; and
- your signature.
Codicio may remove or disable access to the material and will terminate repeat infringers where appropriate. A contributor whose Submission is removed may send a counter-notice as provided by law.
10. Responsibility and indemnity
You are responsible for understanding the intellectual property and other laws that apply to your Submission, and for the legal consequences of how you prepare and submit it.
To the extent permitted by law, you agree to indemnify and hold harmless the Organization, Codicio, and their respective affiliates, directors, officers, employees, volunteers, and agents from claims, losses, damages, and costs (including reasonable attorney's fees) arising from your breach of these terms or from any claim that your Submission infringes or violates a third party's rights.
This obligation applies only to the extent the claim, loss, damage, or cost results from your Submission, your breach of these terms, or your failure to obtain rights, permissions, releases, or consents that you represented you had obtained.
For most contributors, who submit their own material, this section will not come into play.
11. Disclaimers and limits
The Platform is provided "as is" and "as available." To the extent permitted by law, neither the Organization nor Codicio is liable for indirect, incidental, special, consequential, or punitive damages, or for what other people do with a Submission they view or copy once it is public.
The Organization and Codicio are not responsible for the acts or omissions of third parties who access, copy, share, modify, or redistribute a Submission after it has been made available to them.
Nothing in these terms limits liability that cannot be limited by law.
12. Intellectual property of StoryTools and the Organization
The software, applications, databases, content files, and other works that make up the Platform belong to Codicio. The Organization's names, marks, and content belong to the Organization. You may not copy, modify, publish, distribute, display, or sell any of them except as permitted.
13. Your personal information
How your name, email address, and other information are handled is described in the Organization's privacy policy, available on the page where you submitted, and in Codicio's privacy policy at story-tools.com/privacy.
The Organization is responsible for providing any notices and obtaining any consents required for its collection and use of personal information in connection with a Submission. Codicio processes personal information in connection with the Platform as described in its privacy policy and applicable agreement with the Organization.
Codicio handles your personal information on behalf of the Organization as applicable and as directed by the Organization.
14. Additional Organization terms
The Organization may present additional terms at the time of submission. They apply in addition to these terms. If they conflict with these terms regarding Codicio's rights, responsibilities, or liability, these terms control.
The Organization may also provide campaign-specific notices, consent language, or requirements that apply to a particular Submission. You are responsible for reviewing those additional terms before submitting.
15. General
Changes. These terms may be updated. The version in effect when you make a Submission applies to that Submission.
Beneficiaries. The Organization and Codicio are each intended beneficiaries of these terms and may each enforce them.
Governing law. These terms are governed by the laws of the State of Montana, without regard to conflict-of-law rules, and disputes will be brought in the courts located in Gallatin, Montana, unless the law requires otherwise.
Assignment. The Organization and Codicio may assign their rights to a successor. You may not assign yours without consent.
Severability and waiver. If any part of these terms is unenforceable, the rest remains in effect. A failure to enforce a provision is not a waiver.
Entire agreement. These terms, together with any applicable additional Organization terms and the privacy notices or policies referenced above, are the entire agreement about your Submission.
16. Contact
For questions about your Submission or removal requests, contact the Organization using the details on the page where you submitted. For copyright notices or questions about the Platform, contact Codicio at [email protected].
